Define Supplier Certifications

Objective

The Define Supplier Certifications option allows the user to create certifications that may later be associated with customers or suppliers, among other things, for Bill 28. Certifications testify that the subcontractors engage construction work for which they possess not only a licence but also a valid Attestation de Revenu Québec (certificate from Revenu Québec). Contractors will be required to obtain a copy of these certificates.

 

Steps

 

maestro* > Purchasing > Maintenance > Suppliers > Define Supplier Certifications

 

  1. In the Define Supplier Certifications window, enter a certification’s description in the Description field.
  2. Click the Save (F12) icon. A code will automatically be assigned to the certification in the Code field.

 

In the Code field, click […] to open the Select a record window. A list of existing certifications is displayed.

To create a code, close the window to do steps 1 and 2 again.

  1. Click the Quit icon.

 

Customer Management

 

maestro* > Invoice > Maintenance > Customers > Customer Management

 

Certifications can be selected from the Costumer Management option:

  1. In the Customer Management window, select a customer.
  2. Once the client is selected, click the Certifications by Client icon. The Certifications by Client window opens.
  3. In the Certifications by Client window, fill in the following columns:

Column

Description

Code

Select the certification’s code.

Description

Displays the certification’s description.

Project No.

Select the project for which the certification is used.

Reference No.

Enter the certification’s number, as a reference.

Date of issue

Date on which the certification was obtained.

Expiration Date

Date on which the certification will expire.

Validation No.

Displays the number proving the authenticity of the certification.

NOTE: Information available on the government’s website to verify the validity of the attestation.

Validation Date

Displays the date on which the certification was verified on the government website.

Note

Indicates if there is a note. Double-click in the cell to open the Memo (Inquiry) window.

Documents

Double-click in the cell to open the Document Management window.

NOTE: Allows the user to consult the certification or the document authenticating the certifications, among other things.

Inactive

If checked, indicates the certification is inactive.

NOTE: The verification of the attestation’s validity will not be done. No error message will mention that the certification is expired.

Last reminder

Date and hour on which the las reminder email has been sent.

NOTE: This column concerns suppliers’ certifications only.

  1. Once the desired certifications are added, click the Save (F12) icon.

 

In the Configuration icon of the Certifications by Client window is the Do not display inactive certificates checkbox.

Check this box so that certifications identified as inactive are not displayed in the grid.

  1. Click the Quit icon.
  2. In the Customer Management window, click the Quit icon.

 

Supplier Management

 

maestro* > Purchasing > Maintenance > Suppliers > Supplier Management

Certifications can be selected from the Supplier Management option:

  1. In the Supplier Management window, select a supplier.
  2. Once the supplier is selected, click the Certifications by Supplier icon. The Certifications by Supplier window opens.
  3. In the Certifications by Client window, fill in the following columns:

Select the certification’s code.

Description

Displays the certification’s description.

Project No.

Select the project for which the certification is used.

Reference No.

Enter the certification’s number, as a reference.

Date of issue

Date on which the certification was obtained.
